ICRA 2015 - Call for Trailer Videos Deadline

Some scientific conferences create a "trailer" to be released a few months before the event. One such conference is SIGGRAPH:

This year we will create a similar trailer for ICRA. We are sure that the results will be even better: we all agree that robotics is much cooler than computer graphics!

The submission process is entirely separate from the regular conference submission process. There are two main reasons: first, while it is possible to attach videos to the paper on Papercept, we need high definition clips for the trailer, and the video size limit does not allow that. Second, especially for this first year, we envision some back-and-forth with authors to work out possible problems. There will be the constraint that, to appear in the trailer, clips must correspond to accepted papers for ICRA 2015.

The below information is also posted on the ICRA 2015 website, http://www.ieee-ras.org/contribute/icra2015-trailer-video

Timeline
--------------------------------------------------------------
Nov 1st - clip submission
Nov-Jan - possible further interaction
Mar 15th - trailer publication

Submission instructions
-----------------------
Please send an email to trailer.icra2015@gmail.com<mailto:trailer.icra2015@gmail.com> containing:
1) Title and ID of the paper as given by PaperPlaza.
2) A one-sentence explanation of your paper understandable by a layperson.
3) A URL to an online archive containing the materials that we can download. This can be a file sharing service (such as Dropbox, Google Drive) or your own server.

(If this method is impracticable due to e.g. network usage limitations in your country, let us know and we will work something out.)

The online archive should contain the following:
- A vectorized image (PDF, EPS) of your institution?s logo on a transparent background.
- One or more clips to consider for the trailer.

Acceptable clips:
* Content: anything that is cool to see and is related to the paper.
* There should not be anything superimposed to the image, including text, captions, or logos.
* Rather than a montage, include separate clips.
* Rather than a composition, include the separate clips. E.g., rather than a video of robot with the sensor data superimposed, give us the two separate clips.
* Resolution: the higher the better. The clip must look good at 1920x1080.
* File formats: anything that Final Cut Pro can read. This includes standard containers such as MP4 and MOV. Uncompressed digital video from cameras is also fine. Avoid WMV and Windows-only codecs.
* File size limitations: *none*, send us high-quality video!
* Time limitation: *none*, but we will carve out a clip of 7-10 seconds. See the SIGGRAPH video above to have an idea of the format and quick tempo at which we are aiming.

In general, send us the highest-quality material you can. The trailer will be edited by a professional video editor. The more materials we have for the editor to work with, the best result we can have. If you want to go the extra mile, include a shot with a color calibration target.

Details about the process
--------------------------------------------------------------
The submission of trailer materials is an independent process from the regular submission process. The constraint is that trailer materials should refer to a paper that is submitted; and if that paper is rejected the materials will not appear in the trailer. Conversely, submissions for the trailer video (i.e., quality or participation) will not influence the acceptance of the paper.

The submission of trailer materials is an informal and possibly bidirectional process between the authors and the creative team. After an initial submission, the creative team can contact authors for better source files ? e.g. to obtain higher resolution clips.

Inclusion in the trailer is not a judgement on the scientific quality of the paper. Videos are selected for the trailer based on a combination of factors:
- whether they are eye-catching and attention-grabbing
- whether they are representative of the field and its various subfields (seeing robots moving is cool, but we also want to show videos representing theoretical contributions)
- whether it is easy for a nonexpert to quickly understand the contribution of the paper.
